Q. I am resigning (leaving the institution). What will happen to my THERS account after my departure?
A. Please review the following information before your departure.
Starting from the day after your departure, an email titled "Notice Regarding Expiration of Access to Your THERS Account" will be sent to your THERS email address on the 15th of each month.
■Information services accessible with a THERS account
Information services within the institution that require login with a THERS account—excluding Microsoft 365 Copilot—will no longer be accessible starting the day after your departure.
■THERS mail
You can continue to access your THERS email (Outlook on the Web) for up to 90 days after your departure.
Please make sure to update your email address for any services that use your THERS email as a sign-in account, as well as with any contacts you need to stay in touch with after your departure, during this 90-day period
After 91 days have passed since your departure, your THERS account will be deleted and will no longer be accessible. Please take the necessary actions as early as possible.
Please note that Microsoft 365 (Office) applications that require sign-in with a THERS account are no longer available. During the 90-day period after your departure, please check your email via Outlook on the Web.
■Microsoft 365 (Office) applications
Microsoft 365 (Office) web applications remain accessible for up to 90 days after departure.
Note:
For users who held a THERS account with an A3 license during their enrollment, the license will be downgraded to A1 after departure. As a result, Microsoft 365 desktop applications will no longer be available.
If you need to back up your data after graduation or resignation, please do so using the web applications during the 90-day access period.
Please make sure to back up any important data during the 90-day period following your departure.
After 91 days have passed, your THERS account will be deleted and data recovery will no longer be possible. Early action is strongly recommended.

Please copy or move any files stored in cloud services such as OneDrive or SharePoint to your local device (personal computer).
■Backup Procedure for THERS mail
If using desktop applications, Please refer to the Microsoft Support resources below for instructions. (This must be done before your departure.)
Note that email backups will be saved in Outlook Data File format (.pst). To view backed-up emails after leaving, a desktop version of Outlook that remains available post-departure (e.g., personally purchased) is required.
If you do not have access to a desktop version of Outlook after leaving, please use the web application method to perform your backup.

If using the web application, Please refer to the following steps.
- Access Outlook on the web.
- Click the email item you wish to save.
- In the top-right corner of the screen, click the "..." (ellipsis) > Download > Download as EML.
- Check that the email has been saved in the Downloads folder on your computer.
For Windows users: Check via File Explorer.
For Mac users: Check via Finder.
