THERS account Setup Guide
To use information services safely, please set up your THERS account before starting to use information services with THERS account.
At the Tokai National Higher Education and Research System tenant (Microsoft 365 Copilot), multi-factor authentication using personal "possession information" is implemented in addition to authentication of THERS account and password.
- What is an THERS account?
This is the Microsoft 365 Copilot account distributed to members of the Tokai National Higher Education and Research System. It is used when signing in to information services within THERS.
THERS account is an organizational account for Microsoft 365 Copilot called a "work or school account"
- What is multi-factor authentication?
This is an authentication method that verifies identity by combining multiple factors.
Security has been enhanced, making it highly likely to prevent unauthorized sign-ins by third parties.

A smartphone or tablet connected to the Internet
If you do not have a smartphone or tablet
Please have a phone (mobile or landline) and an accessible email address ready. -

2. Installation of the Authentication App
- The authentication app is installed on a smartphone or tablet(iOS or Android).
- Authentication apps such as WinAuth, which are installed on a PC, cannot be used.
- If you do not have a smartphone or tablet, please prepare a telephone (mobile or landline) and an email address that can receive messages, and proceed to"3. Access to Microsoft 365 Copilot".
Install on iPhone or iPad (iOS)
- Search for "Microsoft Authenticator" on the App Store. There are many apps with similar names, so please check the name carefully.
If you scan the QR code with your smartphone, the Microsoft Authenticator download page on the App Store/a will open. - Tap "Get" and complete the app download.
Install on an Android smartphone or tablet
- Search for "Microsoft Authenticator" on the Google Play Store. Since there are many apps with similar names, please check the name carefully.
If you scan the QR code with your smartphone, the Microsoft Authenticator download page on Google Play will open. - Tap "Install" to complete the app download.
- Please confirm that an app named "Authenticator" has been added to the home screen.
3. Access to Microsoft 365 Copilot

Open the Microsoft 365 Copilot website https://m365.cloud.microsoft/ from your browser and click on "Sign in".
- If the user icon is displayed as shown in the figure below when you open Microsoft 365 Copilot, it means you are signed into Microsoft 365 Copilot.
- Click the user icon, and if you are signed in with a Microsoft 365 Copilot account other than THERS account, please proceed to "If you are signed in with a Microsoft 365 Copilot account other than an THERS account".
- If the user icon is displayed as shown in the figure below when you open Microsoft 365 Copilot, it means you are signed into Microsoft 365 Copilot.
If you are signed in with a Microsoft 365 Copilot account other than an THERS account
- Click the user icon at the bottom left of the screen.
- If the displayed account is not an THERS account, click "Sign out".
- If the screen displays "Sign in again with the following email address", click on "Switch to another account".
If you have ever signed in with a Microsoft 365 Copilot account other than your THERS account
- If "Select an account" is displayed, click "Use another account".
- If the screen displays "Sign in with the following email address", click "Switch to another account".
4. Sign In

On the "Sign In" screen, enter the "THERS account" listed in the "THERS account Notification" and click "Next".
*For undergraduate new students, THERS account is provided via the web system. -
On the "Password Entry" screen, enter the "Initial Password" provided in the "THERS account Notification" and click "Sign In".
5. Setting Up Multi-Factor Authentication
*Please note that before setting up multi-factor authentication, you may become "6. Password Update".
- As multi-factor authentication for THERS account, an authentication app, phone number, and email address can be registered.
- Please register two methods during the setup of multi-factor authentication.(You can add or change them later.)
- The recommendation is "authentication app (Microsoft Authenticator) + phone number".
If you have a smartphone or tablet, please proceed to "5.1. When setting up Microsoft Authenticator and phone number". - Authentication apps such as Microsoft Authenticator and Google Authenticator can be used on smartphones and tablets.
- Authentication applications like WinAuth that are installed on a PC cannot be used.

Email addresses cannot be used for authentication when signing in.
(It can be used as a method of identity verification when "recovering an account" after forgetting the password.) - If you do not have a smartphone or tablet, please proceed to "5.2. When Setting a Phone Number and Email Address".
- If you are signing in to the Microsoft 365 Copilot home on a smartphone, please refer to "How to register the Microsoft Authenticator app using only a smartphone.".
- On the "Let's keep your account secure" message, click "Next".
In the following operations, an error message may appear on the image.
In this case, please close the browser and reopen it. https://m365.cloud.microsoft/ Then, access the site again.
5.1. When setting up Microsoft Authenticator and phone number
Please do not uninstall the app even if the Microsoft Authenticator setup fails.
Please perform the operation again starting from signing in.
If you delete the app, the link between your Microsoft 365 account (THERS account) and the Microsoft Authenticator app will be removed, leaving the app settings on the Microsoft 365 side, and you will need to perform the "Clear Multi-factor Authentication Registration" process.
Resetting the multi-factor authentication registration requires administrator action, so please contact THERS account Help Center.(Please note that it may take some time to respond.)

Click "Next" on the "Install Microsoft Authenticator" screen.

Click "Next" on the "Set up your account in app" screen.

Open the Microsoft Authenticator app on your smartphone or tablet.
- Tap the "+".
- Tap "Work or school account".
- Tap "Scan QR code".

Use the camera on your smartphone or tablet in the Microsoft Authenticator app to scan the QR code displayed on the "Scan the QR Code" screen.

Click "Next" on the "Scan the QR Code" screen.

Enter the two-digit number displayed in "Let's try it out" into the Microsoft Authenticator app on your smartphone or tablet where it says "Enter the number shown to sign-in." then tap "Yes".

Click "Done" on the "Authenticator Added" screen.

On the "Add Phone Number" screen, enter the "Country Code" and "Phone Number", then choose either "Send Code via SMS" or "Call".
* If you are setting up a landline phone, please select "Call" as you will not be able to receive the code via SMS.
* Please enter the phone number starting with the area code, including the initial "0" without omission.-
If you select "Send code via SMS", authentication will be performed using the code sent to the SMS on your smartphone or mobile phone.
- A 6-digit code will be sent to your smartphone or mobile phone via SMS.

Enter the 6-digit code and click "Next".

Click "Done" on the "Phone number has been added" screen.

If you select "Call", you will receive a phone call (automated voice), so please follow the voice instructions to complete the authentication.

The two authentication credentials registered will be displayed on the "Setup Complete" screen. After verifying the authentication credentials, click "Finish".

If a problem occurs while adding an THERS account to the Microsoft Authenticator app and you need to redo the setup, please do not delete the Microsoft Authenticator app itself.
(Deleting the app will also delete any other accounts you have registered, such as NU.)
When resetting the settings, if there is an THERS account configured in the Microsoft Authenticator app, it will be overwritten, so there is no need to delete the Microsoft Authenticator app or the account.
5.2. When Setting a Phone Number and Email Address
* Please note that the email address cannot be used for multi-factor authentication during sign-in, but it can be used for authentication during account recovery (password reset).

On the "Install Microsoft Authenticator" screen, click "Set up another sign-in method".

Click "Phone", under "Add sign-in method".

On the "Add Phone Number" screen, enter the "Country Code" and "Phone Number". Then choose either "Text a code" or "Call".
* When setting up a landline phone, you cannot receive codes via SMS, so please select "Call" instead.-
If you select "code SMS transmission", authentication will be performed using the code sent via SMS to your smartphone or mobile phone.

A 6-digit code will be sent to the SMS of your smartphone or mobile phone.

Enter the 6-digit code and click "Next".

On the "Phone number added" screen, click "Done".

On the "Install Microsoft Authenticator" screen, click "Set up another sign-in method".

Click on "Email" under "Add a sign-in method".

Enter an email address other than THERS mail adress in "Add Email Address". An email for identity verification will be sent, so please enter an email address that you can access and click "Next".

A 6-digit code will be sent to the email address you entered.

Enter the 6-digit code on the "Email Confirmation" screen and click "Next".

On the "Email Added" screen, click "Done".

「The two registered credentials will be displayed on the "Setup Complete" screen. After confirming the credentials, click "Complete".

6. Password Update

Enter the following items on the "Password Update" screen and click "Sign In".

Enter the "initial password" as stated in the "THERS account Notification" into the "current password" field.
- Enter any desired password in the "New Password" field.
* For guidelines on choosing a password, please refer to the "Password Policy.".

7. Approve the sign-in request using the configured multi-factor authentication

You will receive a sign-in request notification for the configured multi-factor authentication, so please proceed with the approval process.

The "Do you want to stay signed in?" screen is displayed.
- Click "Yes" if you want to keep the authentication. The sign-in state is maintained for about 90 days until the expiration date.
* Even if you select "Yes", depending on the usage situation, you may be asked to sign in before the expiration date. - Click "No", if you do not want to keep the authentication.
If you are not signed in on your own device, please select "No".
- Click "Yes" if you want to keep the authentication. The sign-in state is maintained for about 90 days until the expiration date.
8. Checking the Sign-in Status of Microsoft 365 Copilot

Click on your user icon.

If THERS account is displayed, the setup is complete.
