Q. How can I prevent invitees from joining a canceled Microsoft Teams meeting?
A. When you cancel a meeting, the meeting schedule is removed, but the join URL remains active. It is not possible to invalidate a shared URL; however, you can restrict participation by enabling the "Lobby" setting when canceling the meeting.
The only way to invalidate a canceled meeting is to wait until the meeting link expires. For details about expiration, please refer to the following site.
・Limits and specifications for Microsoft Teams
To limit meeting access using the Lobby feature, follow these steps:
Only the meeting organizer can configure the Lobby settings. Additionally, it is not possible to enable the Lobby for a meeting that has already been canceled.
- Double-click the meeting you want to configure from Teams' "Calendar".
- Click the "Details" tab, then click "Meeting options".
- Change "Who can bypass the lobby?" to "Only organizers and co-organizers", then click "Save". Close the window to complete the process.
If the Lobby was set up in advance and an invitee accidentally joins a canceled meeting, they will remain "waiting in the lobby" and will be restricted from entering the meeting.
If the organizer joins in this state, they can click the "Participants" tab to check which invitees are waiting in the lobby.
